Office Administrative Assistant (Part-Time)

Required Skills

  • Proficient computer experience, especially with macOS.

  • Demonstrated proficiency in word processing, desktop publishing, and creative document design (experience with Adobe applications—particularly InDesign—is helpful).

  • Working knowledge of spreadsheets, data entry, and database management.

  • Excellent grammar, spelling, and business communication skills (formal letters, emails, etc.).

  • Strong interpersonal skills and the ability to handle confidential information with discretion.

  • Must attend a church with biblical beliefs consistent with GBC Lancaster.

Responsible To

  • Financial Secretary

Specific Responsibilities

1. Front Office & Reception

  • Answer and transfer phone calls, take messages, and respond to requests.

  • Greet visitors and congregation members; direct deliveries and sign for packages.

  • Process daily mail—sort and distribute.

  • Maintain the lobby and welcome areas (literature, signage, and displays).

  • Prepare and maintain coffee stations for meetings and events.

2. Communication & Correspondence

  • Send letters and emails to visitors as needed.

  • Type, copy, and distribute agendas, minutes, letters, memos, reports, and schedules.

  • Prepare press releases and/or post community notices on news and social media platforms.

  • Design digital and printed materials (brochures, flyers, programs, announcements, etc.).

3. Administrative Support

  • Perform clerical duties such as data entry and filing to support staff and general operations.

  • Record attendance and maintain data for weekly, monthly, and annual reports.

  • Process church calendar requests and communicate event needs to custodial and other personnel.

  • Create registration and sign-up sheets for events and programs (including collecting and submitting funds to the Financial Secretary).

  • Assist with planning larger church events, business meetings, funerals, and weddings.

  • Maintain office supplies and assist with ordering consumables for the office, coffee area, and kitchen.

4. Financial & Recordkeeping Support

  • Safely forward monies received from congregants or committees for processing.

  • Route check requests for payment or reimbursement to the Financial Secretary.

  • Assist with maintaining accurate records of receipts, clearances, and forms (including SAPP forms).

5. Missions Support

  • Process missionary letters: type (as needed), reproduce, and distribute to the World Missions Team, congregation, and master files.

  • Assist with creating the Missions Prayer Guide (content compiled by a volunteer).

  • Maintain the missions information bulletin board (update photos, content, etc.).

6. Publications & Special Materials

  • Create certificates for baby/parental dedications and baptisms.

  • Prepare bulk mailings (address labels, envelopes, sorting by ZIP code, and post office paperwork).

  • Copy and prepare materials requested by Bible studies, committees, and pastors.

  • Restock Connection Cards, Offering Envelopes, and other printed materials.

7. Office & Facility Maintenance

  • Maintain an organized personal workspace and assist in maintaining common office areas.

  • Support general upkeep of lobby and welcome areas.

  • Report supply needs or assist in ordering materials as directed by the Office Administrator.

Schedule

  • Typically 14–16 hours per week.

  • Open office hours: Monday–Thursday, 9:00 a.m.–4:00 p.m., and Friday, 9:00 a.m.–1:00 p.m.

  • Must be available to cover vacation time for the Office Administrator (currently 3 weeks per year).
